Terms of Service

Effective May 19, 2026

These Terms of Service (“Terms”) govern your access to and use of Dispatch It (“the Service”), operated as a software product provided to fleet operators. By creating an account or using the Service you agree to be bound by these Terms.

1. The Service

Dispatch It is a web application that lets a fleet operator record bookings, dispatch drivers, manage vehicles, and view operational analytics. Drivers receive job offers by email and respond from their inbox · they do not need an account on the Service.

2. Accounts

You must provide a valid email address and a password of at least eight characters. You are responsible for keeping your login credentials and your admin / dispatcher PINs confidential. We are not liable for unauthorised access caused by credentials you shared, lost, or stored insecurely.

You may delete your account at any time from the Account page. Deletion is immediate and irreversible · we erase every record we hold about you within seconds. See the Privacy Policy for the technical detail.

3. Acceptable use

You agree not to:

  • use the Service for any illegal purpose
  • send unsolicited marketing or spam through our email systems
  • upload or store data that infringes another party’s rights
  • attempt to bypass our rate limits, access controls, or RLS policies
  • reverse-engineer, scrape, or attempt to extract proprietary parts of the Service
  • resell or sublicense access to the Service without our written agreement

4. Customer and driver data

You are the data controller for the customer and driver records you enter into the Service. You must have a lawful basis to collect and process that information (e.g. fulfilling a booking) and you must comply with applicable data-protection law (UK GDPR, EU GDPR, CCPA, or your local equivalent).

We are the data processor for that information. We act on your documented instructions and provide the technical means (deletion, export) for you to meet your own data-subject obligations.

5. Subprocessors

The Service relies on these third-party providers. Each handles your data only for the purposes listed:

  • Supabase (database + authentication, US)
  • Vercel (hosting and serverless compute, US)
  • Resend (transactional email delivery, US)
  • Upstash (rate-limit storage, US / global edge)
  • Google Maps Platform (address autocomplete for pickup / dropoff fields, US)

6. Pricing and billing

The Service is currently in early access and free. Paid tiers will be introduced with at least 30 days’ notice; existing accounts will not be billed without a separate, explicit agreement to a paid plan.

7. Availability and warranty

The Service is provided “as is”. We aim for high availability but do not commit to a specific uptime SLA at this stage. We make no warranties beyond those that cannot be excluded by applicable law.

8. Liability

To the maximum extent permitted by law, our total liability arising out of or in connection with the Service in any twelve- month period is limited to the fees you paid us in that period (which, during early access, is £0). We are not liable for indirect, incidental, special, or consequential damages, including loss of revenue, profit, or goodwill.

9. Termination

You may stop using the Service at any time by deleting your account. We may suspend or terminate access if you breach these Terms, with reasonable notice where practical.

10. Changes to these Terms

If we make material changes we’ll let you know by email or in-app notice. Continued use after a change takes effect constitutes acceptance.

11. Governing law

These Terms are governed by the laws of England and Wales, without regard to its conflict-of-laws principles. Disputes will be resolved in the courts of London, England.

Plain-English summary: Use the tool for what it’s for, don’t abuse it, keep your passwords safe, you can leave any time and we’ll delete your data on the way out. The legal bits above are the precise version of that.
